
Support Service Specialist I, Travel
Summary
The incumbent is assigned to the General Services Division. The incumbent provides a wide range of Support
Service which shall include travel assistance and customer support for the bureau travel program.
Essential Functions
Serve as Bureau of Consular Affairs point of contact for travel-related inquiries and approver of Bureau
travel in E2.
Makes travel arrangements based on travelers’ intentions and known preferences ensuring all preparations
are in accordance with Federal and DOS Travel Regulations.
Serve as E2 Solutions Administrator for the Bureau, adding new users and changing passwords as
necessary, and providing E2 technical support to the Bureau by email, by phone, and in person.
Reviews and evaluates E2 travel authorizations and vouchers for reimbursement submitted by CA program
offices and travelers for accuracy and adherence to Federal and DOS Travel Regulations.
Routes E2 travel documents to appropriate Budget personnel for funding.
Responds to E2 requests by phone and email promptly.
Guides CA employees in processing premium class travel requests in E2 and documents all tasks and
requests entered through E2.
Coordinates with staff and travelers to ensure E2 requests are addressed, solicits required information to
process active requests and periodically communicates status updates to requestors.
Communicates budget concerns by researching payment information and balance advance information and
tracing payments in the GFMS system.
Interacts with a wide range of Consular Affairs officials, providing courteous and prompt customer
service.
Assists in administering E2 travel minor customer and approval pools: adding, deleting, and reassigning
travelers, travel arrangers, approvers.
Supervisory Responsibility
None required for this position.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such
as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands

Must be able to remain in a stationary position 75% of the time.
Occasionally moves about inside the office to access filing cabinets, office machinery, etc.
Constantly operates a computer and other office productivity machinery, such as a calculator, copy
machine, and computer printer.
Expresses or exchanges ideas by means of the spoken word. Those activities in which they must convey
detailed or important spoken instructions to other workers accurately, loudly or quickly.
Frequently moves standard office equipment up to 25 pounds.
Must be able to work indoors 90% of the time.
Must have experience in E2 Federal Travel System, DOS and FAM.
While performing the duties of this job, the employee is regularly required to talk or hear. The employee
frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
Position Type/Expected Hours of Work
This is a full-time position. Typical days and hours of work are Monday through Friday, a forty (40) hour work
week. Evening and weekend hours required, as required by business need.
Travel
No travel expected for this position.
Experience
Must possess excellent oral and written communication skills necessary to interface with program
personnel at all levels.
Must demonstrate a thorough knowledge of MS Office applications (MS Word, Excel, PowerPoint).
Ability to handle multiple tasks simultaneously.
Knowledge of office policies, practices, and procedures.
Must be able to work independently with minimum supervision and direction.
Education
Must have a High School Diploma and at least one (1) year of job-related experience or equivalent.
